IT for the NHS – UCLH Delivers Landmark IT System Upgrade with Bates IT and Atos

Transforming IT for the NHS: The UCLH Vision

University College London Hospitals NHS Foundation Trust (UCLH) recently completed the largest IT transformation project in its history. Central to this achievement was Bates IT, the strategic on-site partner of Atos, supporting the Trust’s vision to modernise its digital infrastructure and improve patient care through advanced technology.

This ambitious project aimed to facilitate the deployment of a new, integrated IT networking service provided by EPIC—a world-leading electronic health record (EHR) system. To ensure seamless integration, UCLH needed to install over 1,500 new PCs, monitors, and peripherals, while also refreshing and upgrading a significant portion of its existing 6,500 machines from Windows 7 to Windows 10.

Project Deployment: Coordinated Rollout Across the Estate

Bates IT managed and executed a highly complex deployment plan in partnership with Atos. Key activities included:

  • Receiving and inventorying deliveries
  • Unboxing, flat-packing, and recycling packaging
  • Testing hardware functionality and connecting to the network
  • Imaging devices using SCCM
  • Asset tagging and recording serial numbers in the Atos CMDB
  • Selecting and recording appropriate peripherals for each deployment

Bates IT handled logistics meticulously, packaging and transporting equipment to multiple UCLH sites on schedule.

Engineering Excellence: On-the-Ground Deployment

At the peak of the project, Bates IT deployed a team of 20 engineers across the UCLH estate. These engineers:

  • Installed and configured EPIC-ready devices
  • Set up peripherals according to agreed standards with EPIC and Atos
  • Captured detailed configuration data and shared daily reports with Atos via the MAGIC5 (POD) system
  • Provided the EPIC configuration team with all necessary technical details in pre-agreed formats

In addition to the rollout, Bates IT’s Desktop Support team resolved over 2,300 Business As Usual (BAU) tickets in the two months following the EPIC go-live, ensuring operational stability across departments.

Project Outcomes: A Technological Leap Forward for UCLH

By the project’s go-live date, Bates IT had successfully deployed over 10,000 devices, including more than 1,900 EPIC-dedicated PCs and Workstations on Wheels (WoWs). This comprehensive hardware and software refresh laid the foundation for EPIC’s implementation across the Trust.

Today, over one-third of the Trust is operating on Windows 10, with further upgrades planned over the next eight months. The smooth delivery of this project reflects Bates IT’s deep expertise in IT for the NHS and its critical role in supporting Atos in delivering modern healthcare infrastructure.
